How to Document Asset Condition for Probate Valuations

Documenting the condition of assets accurately is a vital component of probate valuations. At FEAC Legal Probate Valuations, we understand that detailed condition reports help ensure valuations are precise, transparent, and compliant with HM Revenue & Customs (HMRC) standards. Serving clients throughout the UK and Scotland for over 12 years, we provide expert guidance on documenting asset condition to protect estates and support executors and solicitors.

Why Documenting Asset Condition Matters in Probate Valuations

The condition of assets significantly affects their market value. HMRC requires fair market value assessments based on the asset’s state at the date of death. Incomplete or vague condition documentation can lead to valuation disputes, delays, or penalties.

Clear and detailed condition records:

  • Support accurate and defensible valuations
  • Provide transparency for executors and beneficiaries
  • Reduce risks of HMRC challenges or audits
  • Assist in estate management and insurance considerations

Best Practices for Documenting Asset Condition

1. Conduct a Thorough Visual Inspection

Carefully examine each item, noting any damage such as chips, cracks, scratches, wear, or restoration. For antiques and collectibles, assess signs of aging or alterations that may affect value.

2. Use Clear, Objective Language

Describe conditions precisely and neutrally. Avoid vague terms like “good” or “fair” without explanation. Instead, specify details such as “minor chip on base,” “surface scratches consistent with age,” or “professional restoration on rim.”

3. Take High-Quality Photographs

Photographs provide visual evidence of condition and complement written descriptions. Capture close-ups of any damage, markings, or repairs to offer a comprehensive view.

4. Compare with Market Standards

Where possible, compare the asset’s condition with similar items on the market to contextualise valuation impacts.

5. Document Any Restoration or Repairs

Note whether restorations are professional or amateur, as this can influence value. Include the extent and quality of any repairs or modifications.

6. Maintain Consistent Format and Numbering

Organise condition notes systematically, aligning with item numbering in the valuation report for easy reference.
